Data Protection, Privacy, Security
Communitology handles sensitive personal and case-related information in the context of immigration, asylum, and human rights proceedings. Protecting confidentiality and limiting unnecessary exposure are core operational requirements.
Scope
This policy applies to information provided to Communitology by attorneys, legal representatives, expert consultants, and partner organizations in connection with casework and related professional engagements.
Confidentiality
All case materials and associated information are treated as confidential by default.
Information is shared only with Communitology staff and assigned experts who require access to complete the agreed scope of work. Experts and subcontractors are bound by confidentiality obligations and may not reuse or repurpose case materials outside the engagement.
Data Handling and Storage
Case materials are stored and shared using encrypted, access-controlled systems appropriate for sensitive legal casework. Access is limited according to role and case assignment.
Communitology does not disclose client identities, case details, or expert work product outside the scope of an authorized engagement, except where required by law or court order.
High-Risk Contexts
In certain jurisdictions, identifying local sources or verification pathways may create safety risks. Where appropriate, Communitology applies heightened confidentiality measures and limits attribution in order to protect in-country researchers and other individuals who may be exposed to harm.
External Use and Limits
Once materials are submitted to courts, tribunals, government agencies, or shared at the direction of counsel, their handling is governed by those institutions and recipients. Communitology cannot control downstream use, disclosure, or retention by third parties.
Jurisdiction and Applicable Law
Communitology is a United States–based organization. In the course of providing expert services, Communitology may process information relating to individuals or legal matters connected to the European Union.
Where EU-linked personal data is handled, it is processed solely for professional, case-specific purposes, typically at the instruction of attorneys or other authorized representatives, and subject to applicable legal and professional obligations. Communitology does not provide services directly to the general public and does not engage in commercial data processing, profiling, or data brokerage activities.
Requests and Contact
Attorneys or authorized representatives may request clarification, correction of factual errors in administrative records, or information regarding data handling, subject to legal, evidentiary, and professional obligations.
